1. Who We Are

EcoHairFactory is the eco-materials brand of Dongguan JunYi Beauty Technology Co., Ltd., a hair accessories manufacturer based in Dongguan, China (“we”, “us”, “our”). We operate ecohairfactory.com and are responsible for the personal information described in this policy. Our contact details are in section 14.

This policy explains what we collect when you visit the website or send us an inquiry, how we use it, who else receives it, and the choices you have.

2. Information You Give Us

When you send an inquiry through our contact page, a quote request pop-up, one of our quote landing pages or the 3D design tool, we collect:

• your name, work email address and company name;
• your WhatsApp or phone number and the country code you choose;
• your business type, estimated order quantity and the product you are asking about;
• your message;
• any file you attach, such as a sketch or photo (up to 10 MB);
• if you use the 3D design tool, the options you selected (for example shape, material and colours) and the preview images the tool creates of your design.

If you contact us by email or WhatsApp instead, we receive whatever you send through that channel. We do not take payments on this website, and you do not need an account to use it.

3. Information Recorded With Your Inquiry

When you submit a form, the website also records:

• your IP address and the approximate country it indicates, which we look up through ip-api.com;
• your browser and device type (user agent);
• the page you submitted from, including any tracking parameters in its address — for example the Google Ads click identifier, campaign name or search term if you arrived from one of our ads;
• a spam-risk score from Google reCAPTCHA.

Submissions that our spam filters reject are not saved as inquiries, but we keep a short log entry (time, reason, IP address, page, name, email address and browser) so that we can check that no genuine buyer was blocked by mistake.

4. Information Collected While You Browse

The website uses the following services, which collect information about your visit whether or not you send an inquiry:

• Google Analytics 4, loaded through Google Tag Manager, tells us which pages are visited, how visitors arrived (for example from search, an ad or another website), their device type and approximate location, and whether a visit led to an inquiry or a WhatsApp click. Under our settings, Google Analytics keeps event data for two months and user data for fourteen months.
• Google Ads conversion tracking records when someone who clicked one of our ads goes on to send an inquiry or tap WhatsApp, so that we can measure which ads work.
• Microsoft Clarity records how visitors use our pages — clicks, scrolling, mouse movement and page views, including session replays — so that we can find and fix usability problems.
• Google reCAPTCHA v3 runs on pages with an inquiry form to tell people apart from automated spam. It collects hardware and software information, such as device and browser data, and sends it to Google for analysis. reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
• Country code detection: on pages with a form, your browser asks ipwho.is for the country of your IP address, so that the phone field can pre-select your dialling code. We do not store the result unless you submit the form.
• Google Fonts: the fonts on our pages are loaded from Google’s servers, which receive your IP address.
• Server logs: our hosting provider keeps standard logs, such as IP address, pages requested and time of request, for security and performance.

Videos on our pages are shown as still images and only load from YouTube (youtube-nocookie.com) when you press play. Links to WhatsApp open WhatsApp, which is operated by Meta and covered by its own privacy policy. Some emoji on this website are displayed as images from Twemoji (graphics licensed under CC-BY 4.0); they are served from our own server.

5. Cookies

The services described above set the following cookies:

• _ga and _ga_3N25630LN5 — Google Analytics; tell visits and visitors apart; kept for up to 400 days.
• _gcl_au — Google Ads; connects an ad click with a later inquiry; kept for about 90 days.
• _clck, _clsk, CLID and MUID — Microsoft Clarity; group page views into a session and recognise returning visitors; kept for between one day and about 13 months.

You can block or delete cookies in your browser settings, install the Google Analytics opt-out browser add-on, and manage Google ad settings at My Ad Center. Blocking these cookies does not stop you from browsing the website or sending an inquiry.

6. How We Use Your Information

• to reply to your inquiry and prepare quotations;
• to follow up about samples, orders and any business relationship you start with us;
• to understand which pages, searches and ads bring genuine inquiries, and to improve the website;
• to detect and filter spam and abuse of our forms;
• to comply with legal obligations.

We do not sell your personal information. Apart from spam filtering, we do not make decisions about you by automated means; a submission that our filters flag may be held for a person to review before it reaches our sales team.

7. Who Receives Your Information

We share information only with the service providers that run parts of our website and email, and only as needed for the purposes above:

• Hostinger — website hosting;
• Google — sending inquiry notification emails (through Gmail), reCAPTCHA, Google Analytics, Google Tag Manager, Google Ads conversion tracking and Google Fonts;
• Alibaba Cloud — the business mailbox in which our sales team receives inquiry notifications;
• Microsoft — Clarity;
• ip-api.com and ipwho.is — looking up the country of an IP address;
• YouTube and WhatsApp — only if you play a video or contact us on WhatsApp.

Each provider processes information under its own terms and privacy policy. We may also disclose information where the law requires it.

8. International Transfers

Our company and sales team are in China, and inquiries are received and handled there. Our service providers may process information in the United States and in other countries. This means your information may be processed outside the country where you live, where data-protection laws may be different.

9. How Long We Keep Information

• Inquiries, attached files and design previews are kept in our website database and business mailbox for as long as we need them to respond to you, to manage any business relationship that follows, and to keep business records. You can ask us to delete them at any time (see section 11).
• The spam-filter log described in section 3 is used only to check that our filters are working correctly.
• Analytics, Clarity and Google Ads data are kept by Google and Microsoft as described in section 4 and under their own retention rules.

10. Security

The website is served over HTTPS, and inquiry records can only be viewed by authorised staff through a password-protected admin area. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.

11. Your Choices and Rights

Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to ask us to delete it, to object to or restrict certain uses of it, and to receive a copy of it. You can also ask us to stop contacting you at any time.

To make a request, email us at the address in section 14. We may need to confirm your identity before acting on it. If you are unhappy with how we handle your information, you can also contact the data-protection authority where you live.

12. Children

This website is intended for businesses and is not directed at children. We do not knowingly collect information from children under 16.

13. Changes to This Policy

We may update this policy when our website or the services we use change. The date at the top of this page shows when it was last revised.
